ABOUT THE ROLE

This role is built for someone who’s already mastered the Executive Assistant fundamentals and is ready to operate at a higher level—someone who thrives with autonomy, takes initiative, and owns outcomes without waiting to be told what to do.

You’ll be the executive-level partner behind the curtain—untangling operational chaos, driving key priorities forward, managing the administrative team, and giving the CEO back his time, energy, and focus. This role requires comfort with ambiguity, confidence in high-complexity environments, and a take-charge mindset where others might hesitate or stall.

Expect to wear many hats. You’ll be organizing physical and digital environments, handling special projects, updating internal processes, and enforcing systems. You’ll need excellent judgment, strong business acumen, and the ability to bring calm to disorder without slowing anything down.


ABOUT THE CEO

Adam Marlin is a bold entrepreneur with interests in residential and commercial real estate, construction, property management, and operational turnarounds. WHAT YOU’LL DO:

OPERATIONAL SUPPORT & PROJECT OWNERSHIP

  • Triage and manage special projects including insurance claims, vendor contracts, and ad hoc problem-solving.

  • Serve as the point person for initiatives that have been started but not finished—closing loops, organizing documents, and executing next steps.

  • Help organize and streamline existing systems, both digital and physical (especially within his office).

    Identify roadblocks early and remove them quickly with good judgment and a bias for action.

  • Tame the chaos of a scaling company—introduce clear systems while keeping up with rapid growth.

  • Lead the charge on automation and system integration—leveraging technology to support faster execution and smarter decision-making.

LEAD THE ADMINISTRATIVE TEAM

  • Manage an existing administrative team, including multiple virtual assistants, to ensure they’re aligned and executing.

  • Track ongoing deliverables and help others stay accountable to their "rocks" (EOS-style goals).

  • Identify redundancies or gaps in the current team structure and support streamlining.

  • Bring a leadership mindset and people-savvy instincts to the team.

ARCHITECT THE CEO’S TIME

  • Navigate a dynamic, layered calendar that spans business, personal, and everything in between, keeping all the pieces moving without burnout or backlog.

  • Shape a calendar that works for him, not against him—minimizing friction, aligning with his top goals, and keeping distractions at the door.

  • Run personal errands, purchase gifts, and handle other light personal assistant tasks as needed.

  • Drive Adam’s focus through proactive and structured briefings and check-ins.

OVERSEE EMAIL COMMUNICATION

  • Manage high-volume email with precision and discretion—triaging, responding, and drafting communications that are sharp, emotionally intelligent, and perfectly aligned with the CEO’s voice.

  • Act as an internal liaison with other team members and external stakeholders—ensuring timely, clear communication.


WHO WILL SUCCEED IN THIS ROLE:

  • A seasoned Executive Assistant with 6+ years of experience, including at least two supporting a founder, entrepreneur, or fast-moving small business leader.

  • Based within 30–45 minutes of Spring Valley, NY and available to work on-site 2–3 days a week.

  • Exceptionally organized and self-directed—comfortable handling both high-level projects and in-the-weeds execution.

  • A confident communicator with thick skin and strong judgment—unafraid to speak up or push back when needed.

  • Trusted with sensitive information and high-level decisions—discreet, loyal, and grounded.

  • A proactive operator who owns outcomes, thrives under pressure, and doesn’t wait to be told what to do. Action-oriented.

  • Tech-savvy and systems-minded: fluent in G-Suite, Microsoft, Dropbox, AI tools, and light QuickBooks.

  • Committed to continuous improvement—you take learning seriously and walk your talk.

  • Familiarity with AppFolio, ClickUp, and One Password is a plus, but not a requirement.

  • BONUS: Knowledge of the Entrepreneurial Operating System (EOS).


WHO WILL NOT SUCCEED IN THIS ROLE:

  • A career-changer or someone "interested in learning how to be an EA."

  • Overwhelmed by ambiguity or dependent on rigid structure and step-by-step instructions.

  • Conflict-avoidant, passive, or afraid to speak up when something isn’t working.

  • Someone who’s afraid of making mistakes—if you do, you own it fast, flag it clearly, and work to fix it without disappearing or deflecting.


COMPENSATION & BENEFITS

  • $82,000–$92,000 annual salary depending on experience

  • Health benefits, PTO, and paid holidays included (including all Jewish Holidays)

  • Technology provided (PC), if desired

  • CliftonStrengths or Kolbe assessment required as part of the hiring process
